We are seeking a Senior Administration Officer to join our INPEX team in Darwin on a 14 -month maximum term contract. Join us in helping shape a brighter energy future.
The role of the Senior Administration Officer is to provide support to the Darwin Office and Corporate Affairs teams promoting a collaborative and positive work environment to collectively achieve our goals, objectives, and targets.
Key responsibilities:
- Coordination and diary management for General Manager of Northern Territory.
- Deliver general administrative support to facilitate the efficient operation of the Darwin office and the Corporate Affairs team.
- Assist the General Manager, Northern Territory with the management of the Darwin Office budget including raising POs and PRs, tracking expenditure and reporting VOWD.
- Provide guidance and support to Receptionist.
- Manage receptionist roles and responsibilities if the receptionist is away from the office.
- Focal point of contact for the Team Event Planner and Cross Functional Dashboard.
- Management of calendar invitations and RSVPs for NT based functions and events.
- Process travel bookings, raising RFT’s for flights/hotels and tracking of the teams travel and leave arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Support the team with any IT requests as needed.
- Assist with the end-to-end organisation of team building events, workshops, morning teas for farewells and special occasions, e-cards & gifts.
- Coordinate the weekly and monthly reporting processes, ensuring all information is consolidated and submitted to the General Manager in a timely manner.
- Coordinate with the Receptionist to manage all PPE requirements for ILNG site visits, including personalised packaging and delivery of PPE.
- Along with ILNG Onshore admin team manage the coordination of all VIP site tours
- Support ILNG site visits from a Darwin Corporate office perspective.
- Ensure a clean, organised, and hygienic office environment by coordinating with cleaning services, managing supplies, and enforcing hygiene practices.
Successful candidates will:
- Strong verbal, listening and written communication skills and high attention to detail.
- Strong administrative and organisational skills.
- Excellent PC Skills. Ability to utilise a range of software packages, including MS Office (Word, PowerPoint, Excel), SAP, Outlook.
- Working knowledge of MS Teams.
- Ability to work independently and use initiative.
- Ability to manage multiple tasks concurrently.
- Flexible and adaptable to the varied tasks.
- Must be able to work with integrity and maintain confidentiality.
- Budgeting skills highly regarded.
